The DeLand professional office version of the front-desk problem
Most DeLand professional offices we’ve seen are in one of three situations:
Solo attorney / solo CPA with no receptionist. Calls come to the direct line. Billable time is interrupted constantly by informational questions (“are you open Saturday”, “where are you located”, “what do you charge for a simple will”). Meanwhile, real prospective-client calls that come in during court appearances go to voicemail and half of those never come back.
Small firm (2-5 people) with a shared paralegal acting as receptionist. The paralegal is buried under intake calls during tax season, court calendar conflicts, and normal case work. Half the time someone else has to cover the phone and does it poorly.
Medium firm (5-15 attorneys) with a receptionist. Receptionist handles peak business hours well; evening / weekend / lunch coverage is missing entirely. Overflow during surge weeks (tax season, bar exam cycle, major case kickoff) swamps the single front desk.
All three situations improve with AI receptionist. The first and second situations improve dramatically — the attorney / CPA gets meaningfully more billable time back, and no-brainer prospective-client calls stop being missed.
Typical deployment scope
Greeting: “Thank you for calling [firm name]. How can I direct your call?”
Flow:
- Existing client asking for their attorney → route to attorney or attorney’s paralegal
- Prospective new client → run intake (practice area, opposing parties for conflict check, urgency, preferred contact) → book consultation
- Vendor / solicitation → message-only queue
- Media → message to firm manager
- Emergency (client in crisis, post-arrest call, imminent court deadline) → direct line escalation
Scope boundaries: no advice, no confirmation of representation on background, no discussion of case details.
